Use the Focus Funnel to prioritize your tasks


I do a lot of things simultaneously. For example, I do speaking, I do writing, I do content creation for companies. I do coaching, I do consulting, and a common question I get asked is, How do I manage my time and still produce at a high level?

So here's the secret, which I follow, and you can follow this as well.

There's something called the focus funnel, and I read this from the book, Procrastinate on purpose by Roy Vaden. He talks about a strategy to prioritize your task, and for the past six years since I read this book, I've always followed the focus funnel to prioritize my task. So here's how it works.

Say you have a task A:

  • First Stage

    The first thing you can do is see whether it can be eliminated. If it can be eliminated, then you don't have to work on the task.

    If it cannot be eliminated, then it goes into the second stage.

  • Second Stage

    The second stage is delegated, could that task be done by someone else instead of you?

    If it cannot be done by someone else, then it enters the third stage.

  • Third Stage

    The third stage is can the task be automated? Is there some way you can automate the task so that the next time you get it, you don't have to work on it?

    If it cannot be automated, then it goes to the forth stage.

  • Forth Stage

    See whether you can delay the task for a further time. If you cannot delay any further, then you enter the fifth stage.

  • Fifth Stage

    This stage is Concentrate, where that particular task is the only thing you need to focus on, and none of the other tasks matter.


So that is the focus funnel. So my advice to you would be, for any task you get, use the focus funnel and make sure you work on the high-priority tasks and succeed at a high level.
